Job Title: Administrative Coordinator

Reports To: Executive Director

Hours: ~25–30 hours per week

Location: Remote (must reside in Georgia; high preference for southwest of Atlanta)

Position Overview:

The Administrative Coordinator is a key member of the ECAN team, responsible for supporting donor relations, managing acknowledgments and communications, coordinating events and mailings, and maintaining donor databases. This role ensures that our supporters feel valued and connected to ECAN’s mission.

 

Key Responsibilities:

Donor Acknowledgement & Stewardship

·        Prepare and send donor gift receipts and acknowledgements, including tributes and memorials.

·        Manage recurring donor communications, including mailings.

·        Coordinate donor gifts, merchandise, and recognition items.

·        Reconcile mailed gifts and donations with donor management systems.

 

Donation & Payment Management

·        Make regular bank deposits on a minimum weekly basis.

·        Reconcile deposits with Stripe and other giving platforms.

·        Maintain records and paperwork for online donation platforms, including Classy, Benevity, Network for Good, OneCause, donor-advised funds, and others.

·        Ensure all accounts are set up correctly, and paperwork is complete for donor platforms.

 

CRM & Database Management

·        Maintain donor information and gift records in the CRM.

·        Update website tributes, memorials, and donor recognition pages.

·        Track donor interactions, sending summaries where appropriate for longer communications.

 

Communications & Office Support

·        Manage post office mail pickup, monitor and respond to the general information email inbox, and handle incoming phone inquiries.

·        Coordinate mailings for virtual events, including 5Ks and other fundraising initiatives.

·        Prepare and coordinate token certificates, schwag bags, and event materials.

·        Assist with event communications, including virtual and in-person donor events (e.g., golf tournaments).

 

Social Media & Marketing Support

·        Update social media channels with donor recognition, tributes, and event highlights.

·        Collaborate with staff and contractors to ensure consistency across platforms.

 

Qualifications:

·        Proven experience in nonprofit donor relations, philanthropy, and administrative support.

·        Strong organizational skills, attention to detail, and ability to manage multiple priorities.

·        Proficiency in CRM systems, online donation platforms, and Microsoft Office.

·        Excellent written and verbal communication skills.

·        Ability to work independently in a remote environment.

·        Georgia residency required; southwest Atlanta area highly preferred.

 

Preferred Experience:

·        Event coordination for donor or fundraising events.

·        Experience with online donation platforms (Classy, Benevity, Network for Good, OneCause).

·        Familiarity with donor recognition programs and merchandise fulfillment.

Compensation:

·        $25 an hour

·        Retirement plan eligibility after six months
