Job Title: Staff Accountant (Grant Accounting Focus)
Supervisor: Senior Accounting Manager
Salary: $62,000 - $73,000
Position Summary
Quality Care for Children (QCC) is seeking an experienced Accountant with a strong background in grant accounting to support the organization’s financial operations. This role is responsible for grant accounting, accounts receivable, month‑end close activities, and account reconciliations to ensure accurate financial reporting and compliance with funding requirements. The Accountant works closely with program leadership, finance staff, and external funding partners to support QCC’s mission of improving access to quality child care.
Key Responsibilities:
Grant Accounting
- Set up, maintain, and manage grant budgets within QCC’s accounting system
- Track and monitor grant expenditures to ensure compliance with grant agreements and funding regulations
- Review expenses for allowability, allocability, and proper documentation
- Prepare grant financial reports, reimbursement requests, and closeout documentation
- Support grant monitoring, audits, and reviews by funders
- Collaborate with program staff to ensure financial information aligns with program activities and reporting
Accounts Receivable
- Prepare and submit grant-related billings, drawdowns, and reimbursement requests
- Track grant receivables and monitor aging schedules
- Record and apply cash receipts accurately
- Follow up on outstanding receivables and resolve discrepancies in a timely manner
- Maintain organized documentation supporting receivables and collections
Month-End Close & General Ledger
- Prepare and post month-end journal entries, including grant-related accruals and adjustments
- Assist with monthly and year-end close processes
- Ensure transactions are recorded accurately and in accordance with GAAP
- Support the preparation of internal financial statements and reports
Reconciliations
- Perform monthly reconciliations of balance sheet accounts, including grants, receivables, and deferred revenue
- Investigate and resolve reconciling items promptly
- Maintain clear and thorough documentation to support reconciliations
Education, Knowledge, Experience:
- Bachelor’s degree in Accounting, Finance, or a related field
- 3–5 years of accounting experience; nonprofit and grant accounting experience strongly preferred
- Experience with accounts receivable, month-end close, and reconciliations
- Knowledge of grant compliance requirements (federal, state, or private grants)
- Strong Excel and accounting software skills
- Excellent attention to detail and organizational skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
Preferred Experience & Skills:
- Experience working with government-funded grants and contracts
- Familiarity with federal grant regulations (Uniform Guidance, 2 CFR Part 200)
- Experience supporting audits and funder reviews
- Ability to communicate financial information clearly to non-finance staff
- Commitment to QCC’s mission and values
- Experience using Financial Edge NXT (Blackbaud)
