About this role

Collaborating with various faculty and staff members and reporting to the Elementary School Principal and the Early Childhood Program Principal, the position is responsible for projects including:

Program Management

  • Managing the day-to-day operations of the Elementary School & Early Childhood Program, as an extension of the Principal’s decision-making responsibilities
  • Using discretion, making decisions, and monitoring the budgets for various ES & ECP school programs, events and initiatives
  • Identify opportunities for process improvements in existing systems and workflow. Especially those tied to enhancing communication, consistency, and student/family experience
  • Create and maintain clear processes, timelines, and shared systems to ensure smooth executive of programs and events
  • Acting as a liaison between parents and the School in helping manage relationships and sensitive situations
  • Coordinating and serving as project manager for school programs/events including but not limited to: Milestones, Smilestones, Field Trips, Special Events, Celebrations, Conferences, Report Cards,
  • Extracurricular Activities Eligibility, School Communication, Parent & Student Orientation
  • Serving as ES/ECP School representative for cross-divisional teams, including Operations, School Safety, and PTO

Faculty Management

  • Assigning Elementary School teachers carpool positions and duties
  • Collaborate with principals and division counterparts to create and align faculty teaching assignments
  • Training new staff in Elementary School policies and procedures
  • Overseeing time and attendance for division staff including approving and tracking of paid/unpaid leave
  • Collaborating with the Principal, Human Resources, and Operations department to develop best practices for ECP & ES School Program

Student Management & Discipline

  • Interacting directly with students on daily basis
  • Creating and maintaining class lists for all Elementary classes via school-wide platform
  • Record keeping for student discipline and dress code issues, with parent notification
  • Serving as point-of-contact for student communication during the school day

Trip Management

  • Designing, implementing, and executing all logistics for field trips (including overnights)
  • Developing and controlling deadlines, budgets, and activities for all trips
  • Managing all work processes and communications with vendors, collaborators, faculty, parents, and students.
  • Supervising and attending specified field trips, including some overnights.
  • Assessing program performance to maximize ROI

General Office Management

  • Overseeing part-time ES & ECP School admin and/or volunteers
  • Managing program supplies and resources (Ordering and distributing textbooks and supplies for ES & ECP, copy machine maintenance, creation and distribution of forms as needed, and word processing)
  • Serving as division level system administrator for various internal software platforms
  • Maintaining files and records for ES & ECP School
  • Providing administrative support for the ES & ECP School Principals as directed (including scheduling teacher observations and evaluations, writing letters, parent communication, faxing, and word processing
  • Scheduling meetings for ES and ECP Principals as needed
  • Troubleshooting problems whenever necessary
  • Other duties as required

  • Ability to prioritize, multi-task and switch gears quickly
  • Adherence to deadlines while remaining flexible for last-minute items

  • Adept in conducting and collecting confidential research, analyzing data, reaching valid conclusions, making recommendations and proposing plans of action

  • Quick at responding to emails, tasks assigned, etc.

Education & Other Requirements

  • Education: Minimum college degree required
  • Experience: Minimum of three years’ relevant experience (Executive Assistant, Administrative or Project Management experience preferred)
  • Proficient in Microsoft Office tools (Outlook/Word/Excel/PowerPoint/Publisher)
  • Experience with Veracross (or similar student records management platform) is a plus
  • Capability to learn new software platforms quickly

Physical RequirementsThe employee must be able to:

  • Bend, crouch, walk through the school, and move from standing to sitting on the floor and back.
  • Use hands and fingers to reach, grab, write, handle, feel & control objects
  • See, talk and hear
  • Lift and carry objects including children up to 40 lbs. (in case of emergency)
  • Lightly clean and maintain equipment in the office
  • Work in a busy and occasionally noisy environment

About the Position:

  • FLSA: Exempt, Salaried, Full-time, 12-month
  • Workdays: Monday – Friday, School Office Hours, Occasional Evenings
  • Physical Requirements: Routine physical activities required to fulfill job responsibilities
  • Salary: Commensurate with experience
