The Program Assistant provides essential program, administrative, and logistical support to help TMC’s residential and community-based programs run smoothly. This role supports staff, residents, volunteers, and program activities. This is a support role, not a management role.

The ideal candidate is organized, compassionate, flexible, and committed to serving young moms with dignity and respect. The Program Assistant enhances program flow, prepares materials, supports families, organizes resources, ensures effective and timely communication, and strengthens the daily operations and efficiency of each program under the direction of the Directoral Leads and Program Manager.

KEY RESPONSIBILITIES

Program & Resident Support

  • Provide general support to program staff during classes, workshops, support groups, and community events.
  • Assist with mentorship activities as directed (home management, parenting resources, scheduling reminders, etc.).
  • Help maintain a stable, nurturing, and welcoming environment in the residential home.
  • Build healthy, supportive relationships with residents while maintaining appropriate boundaries.
  • Assist with crisis coordination by relaying information, contacting on-call staff, or supporting safety protocols as directed.
  • Occasionally assist with transportation or childcare when approved and scheduled.
  • Communicate important reminders, updates, and program expectations to participants..
  • Organize supply closet inventory (diapers, wipes, clothing, maternity supplies, baby gear).
  • Sort, label, and restock items using the organization’s inventory tracking system.
  • Assist with donation intake (sorting, cleaning, folding, tagging, documenting).
  • Help coordinate donation drives and volunteer sorting days.
  • Prepare distribution bags and kits for families based on their expressed needs.
  • Prepare signage, packing lists, and sorting guidelines for volunteers.
  • Communicate supply needs and donation shortages to program staff.

Program Logistics & Operations

  • Help set up, break down, and prepare materials for classes, meetings, community programming, and events.
  • Track resident participation, curriculum progress, and activity completion as directed by program staff.
  • Support the execution of the organization’s five pillars of support (Housing & Home, Parenting Support, Personal Growth, Career Development, Community Networking).
  • Help maintain household tasks lists, chore charts, supply inventories, and shared calendars (without supervising or assigning tasks).

Administrative Support

  • Manage shared inboxes and respond to routine communications.
  • Maintain digital records, databases, spreadsheets, SOPs, and virtual logs & filing systems.
  • Assist with scheduling programs, appointments, volunteer shifts, and meetings.
  • Prepare and edit documents, forms, checklists, reports, and presentations.
  • Take detailed notes during staff meetings and program planning sessions.
  • Support volunteer coordination, onboarding steps, communication, and scheduling.
  • Assist with travel coordination, registration tasks, and administrative errands as needed.

Home & Facility Support (Non-Supervisory)

  • Help monitor the general cleanliness, safety, and function of the home; notify staff of concerns.
  • Assist in organizing supply closets, donations, home materials, and inventory.

SKILLS AND QUALIFICATIONS

  • Strong work ethic, attention to detail, and problem-solving abilities
  • Responsive, proactive, dependable and adaptable 
  • Strong organizational, time management, and attention-to-detail skills.
  • Warm, compassionate interpersonal skills; ability to build rapport with young mothers.
  • Clear written and verbal communication abilities.
  • Ability to maintain healthy boundaries and uphold TMC’s relational, Christ-centered culture.
  • Proficiency with Google Workspace, Monday.com, and database systems (or willingness to learn).
  • Ability to remain calm and responsive during urgent or unexpected situations.
  • Anticipates needs and willingly supports diverse tasks in a dynamic, growing nonprofit.

MINIMUM REQUIREMENTS

  • High school diploma or GED.
  • Prior administrative, program support, or human services experience.
  • Experience working with individuals who have experienced trauma or instability is a plus.
  • At least 25 years old 
  • Valid driver’s license with a clean driving record.
  • Ability to lift up to ~25 lbs and navigate stairs as needed in a residential setting.
